How to track inventory in multiple locations

In inFlow, you can track products in multiple locations. Locations should represent physical buildings, and sublocations should represent the shelves/aisles/bins within a specific building.

Please note this is only available on select plans or add-ons.

Setting up locations and sublocations

Set up a location:

  1. Click your email address in the top right corner, then select Options.
  2. From here, click on the Locations tab.
  3. Click on the arrow next to Default location, and type in the name of your main location. Remember, this should be named after a building, not a room within a building, for the reordering feature to work correctly! 
  4. If you want to add an address to the location, click on +Add address.
  5. Click on the blue arrow to the right of the window to return to the main location screen.
  6. Click + Add location to enter another main location to inFlow. 
  7. Click the star to the right of a location to set that as the default location for inFlow. 
  8. Click Save when done.

Remove a location:

You can deactivate locations you no longer use. Before deactivating a location, you will need to zero out the inventory in that location or transfer the stock to a different location. 

  1. Zero out or transfer* all existing stock out of the location you will be deactivating so that it no longer appears in your Current Stock screen.*
  2. Click your name in the top right corner, then select Company.
  3. In the “Locations” tile, click Manage Inventory Locations.
  4. Click the “X” next to the location you want to deactivate.
  5. Click Save.

*The Current Stock screen, and Transfer stock are only available in the inFlow Cloud Windows.

Reactivate a location:

  1. Go to app.inflowinventory.com/options/inventory.
  2. On the Inventory tab, click on Locations.
  3. Toggle ON Show deactivated.
  4. Click “+” next to the location you want to reactivate.
  5. Click Save when done.

Set up a sublocation:

You can add sublocations while editing the quantities or locations of a product.

  1. Open a product in inFlow by going to the Main Menu > Inventory > Product list and clicking any existing product.
  2. Under Quantity on hand, click on an existing location you would like to add sublocations to.
  3. Enter the sublocation name in the available empty drop-down field.
  4. To add another sublocation, click the + add sublocations link.
  5. Type the name of the sublocation into the dropdown, then “+” to save it to your sublocations.


Understanding the different “default locations” in inFlow

The Location field on purchase, sales and work orders controls where the products will be received and sold from. There are several location defaults you can set to minimize manually selecting the order location when purchasing, selling or transferring products. 

The Location field on orders is automatically filled based on the following hierarchy:

  1. The customer’s default location (applicable to sales orders only)
  2. The personal default location (if the above isn’t set) 
  3. The system default location (if the above isn’t set) 

The order Location can also be set manually, which will always override the system, personal and customer defaults.

System default Location

inFlow’s system default location is a global setting but it can be overridden by other location settings, as you’ll learn below. If you only have the system default location set up, any time an item goes in or out of inventory through a purchase, sales, or work order, it will be received or picked from the system default location.

To set the system default location:

  1. Go to app.inflowinventory.com/options/inventory
  2. Click on Locations.
  3. Click the star next to the desired location to set it as the default. 
  4. Click Save.

Personal default location

Each team member can set up a personal default location which will override the System’s default location when fulfilling orders. This is helpful if different team members receive and pick from specific locations. We recommend each team member set their own personal default location to avoid having to always change the Order Location in a new order.

To set a personal default location:

The personal default location is set by the team member.

  1. Click your name in the top right corner, then select Personal.
  2. Click on Personal defaults.
  3. Select what location should default to your inFlow profile from the drop-down fields. 
  4. Click Save when done.

Customer default location

If a customer has a default location set up, inFlow will automatically pick products from that location when you create a sales order for that customer. 

To set the customer default location:

  1. Go to Main Menu > Sales > Customer List.
  2. Click on the customer you want to set a default location for.
  3. Under Preferences, Set the default location in the Location dropdown.
  4. Click the Save button at the top right of the screen.

  2. Under “Track inventory by”, click Manage Inventory Locations.
  3. Check the Show Inactive box below the table.
  4. Check the box in the Active column next to the location you want to reactivate.
  5. Click Save & Close.

Set up a sublocation:

  1. Open the Settings window (Main Menu > Options > Settings).
  2. Under “Track inventory by”, select Locations broken down into sublocations then click Manage Inventory Locations.
  3. Click Edit sublocations.
  4. Select the location you want to add sublocations to from the dropdown, then enter your sublocations into the table.
  5. Click Save & Close.

Remove a sublocation:

Before removing a sublocation, you will need to zero out the inventory in that sublocation or transfer the stock to a different sublocation. 

  1. Zero out or transfer all existing stock out of the sublocation you will be removing.
  2. Open the Settings window (Main Menu > Options > Settings).
  3. Under “Track inventory by”, select Locations broken down into sublocations then click Manage Inventory Locations.
  4. Click Edit sublocations.
  5. Select the location you want to remove sublocations from in the dropdown.
  6. Right-click on the sublocation you wish to remove and select. Delete Selected Rows.
  7. Click Save & Close.

  1. Go to Main Menu > Sales > Customer List.
  2. Double-click on the customer you want to set a default location for.
  3. Click the Extra Info tab at the bottom.
  4. Set the Default Location at the top.
